How to process policy endorsements without adding E&O exposure.

A controlled endorsement workflow for independent agencies: capture the request, confirm the details, get licensed review and check what the carrier issues.

A safe endorsement workflow captures every change request in writing, confirms the details against source documents, has licensed staff approve the change, and checks the endorsement the carrier issues. The request is not finished when it is sent. It is finished when the issued endorsement matches what the client asked for.

Policy change errors tend to come from inadequate follow-up once a change is requested, according to the IIABA's review of agency E&O claims. Its advice is to treat every request as essential, however clerical it looks.

Step 1: Capture the request in writing

Whether the client calls, emails or texts, log the request in your agency management system with the date, who asked and exactly what they asked for. If the request came by phone, confirm it back in writing.

Step 2: Confirm the details against source documents

Adding a vehicle needs the VIN and garaging address. Adding a location needs the address, construction and values. Adding an additional insured needs the name and the contract requirement. Check what you received against the source: the registration, the lease, the contract. Missing details go back to the client now, not after submission.

Step 3: Prepare the change request for licensed review

Put the change in the carrier's format with everything the underwriter needs. Then route it to a licensed team member to review and approve. This is the control point: a person who is accountable for the advice decides the change is right.

Step 4: Submit and diary the follow-up

Submit to the carrier and set a follow-up date. If the change is time-sensitive, such as a new vehicle on the road or a contract starting Monday, tell the client what is bound and when.

Step 5: Check the issued endorsement

When the endorsement arrives, compare it with the request: the right item, the right values, the right effective date and the right form. Discrepancies go straight back to the carrier.

Step 6: Confirm back to the client

Tell the client the change is done and send the endorsement. Record the confirmation. If anything could not be done as requested, say so in writing with the alternatives.
